One of the most common challenges construction companies face when using a CRM system is managing projects that follow similar patterns.
For example, you may tender for a second phase of a development or win repeat work with a client where the project structure is very similar to one you’ve already completed.
Instead of starting from scratch each time, our Project-CRM solution now includes a Full Copy Record control. This functionality makes it simple to duplicate entire projects, including key project details and related records, saving time, reducing errors, and ensuring consistency across your data.
How the Copy Project Functionality Works
The Full Copy Record control can be applied to any entity in the CRM, whether that’s standard records like accounts and contacts, or custom entities like KMS Projects.
When copying a project, the system pulls through:
- Core project data such as names, dates, and values.
- Related records, for example, your External Team or other project-specific links.
This means you can not only carry forward the main project details, but also the supporting data that makes each project complete.
Let’s take a look at an example. We have a Project below with a Name of “KMS Software”… Inventive we know….
This project also has related records we would like to copy, for example the external team:
To start the process of creating a Project with selected data, we shall first click the “Copy Project” button at the top of the record.
You can also specify the related records you wish to copy. In our example we have the external team, but you can use the control for as many related tables as you’d need to copy data from.
Here you can select which records you would like to copy across or if you want copy all at once, with a link back to the project it was copied from.
Real-World Example
Imagine a contractor tendering for Phase Two of a major development. Much of the project information is identical to Phase One: the client, consultants, location, and even some of the external team.
With traditional CRM systems, the team would have to:
- Manually re-enter all project data.
- Risk duplicating errors or missing key details.
- Spend valuable time instead of focusing on project delivery.
With our Copy Project functionality in Project-CRM, the Phase Two record can be created in seconds. The team can adjust only the fields that need to change, such as project name, dates, or contract values, while carrying forward everything else automatically.
Key Benefits
- Efficiency: No need to start from scratch when setting up similar or repeat projects.
- Accuracy: Reduce manual entry errors and maintain data consistency.
- Flexibility: Decide which fields and related records should be copied over.
- Traceability: The system automatically links back to the original project for full auditability.
Why This Matters for Construction Companies
Construction projects are rarely isolated, repeat work, phased developments, and long-term frameworks are the norm. Having the ability to copy entire projects with a single click ensures your construction CRM works the way your business does.
This functionality supports:
- Contractors managing multiple phases of a development.
- Specialist subcontractors working on repeat jobs with tier 1 contractors.
- Companies balancing multiple tenders where speed and consistency are critical.
In short, the Copy Project functionality removes admin headaches and keeps your data clean, so your teams can focus on building relationships and winning work.
